1. Scope
This policy explains how SocialTide, Inc (“SocialTide,” “we,” “our,” or “us”) handles personal information through socialtide.ai, our contact and subscription forms, the Harbor client portal, and services we operate for clients. A signed client agreement may add engagement-specific privacy or data-processing terms.
2. Information we collect
Contact and account information
- Name, business email, company or website, and message details.
- Portal account, authentication, role, and client-membership data.
- Communication preferences and support correspondence.
Client business and source material
- Business positioning, audiences, offers, priorities, brand voice, and approved strategy documents.
- Content, drafts, feedback, approvals, source documents, and website or repository material needed for the engagement.
- Pulse responses: opinions, stories, examples, and judgment a client chooses to provide in response to a prompt.
- Analytics, lead-attribution, publishing, and performance information connected to operated client properties.
Website and technical information
- Page views, referrer, campaign parameters, clicks, form interactions, scroll or engagement signals, and successful conversion events.
- Browser, device, approximate location, IP address, timestamps, and identifiers stored by analytics or security providers.
- Application logs, errors, security events, and system activity.
3. How we use information
We use information to:
- respond to inquiries and assess mutual fit;
- research, plan, build, operate, and measure the agreed client work;
- maintain the Brand Codex and other client context used to keep work accurate and consistent;
- turn approved source material and Pulse responses into draft or final work through the agreed review process;
- operate authentication, approvals, publishing, and analytics;
- send service, support, security, and requested newsletter messages;
- prevent abuse, diagnose failures, and improve reliability; and
- meet contractual, accounting, and legal obligations.
We do not sell personal information. We do not use anonymous visitor behaviour to assign invented lead values by device or browser, and we do not currently operate advertising or retargeting audiences from the SocialTide marketing site.
4. Analytics, cookies, and local storage
We use PostHog on the SocialTide marketing site and on client sites where analytics has been configured. It helps us understand page use, interactions, attribution, and successful lead events. The current web configuration can use cookies and browser local storage to maintain an analytics identifier and session context. PostHog's processing is governed by its privacy policy.
Browsers and privacy tools may block or clear these identifiers. You can also contact us about analytics privacy choices. Essential storage may still be used for authentication, security, form protection, and preferences.
5. Forms and bot protection
Contact and subscription details are sent to SocialTide only when you submit a form. Public forms can use Cloudflare Turnstile to distinguish legitimate submissions from automated abuse. Turnstile processes browser and network signals under Cloudflare's privacy policy. A hidden form field may also be used as a spam trap.
6. AI-assisted processing
SocialTide uses commercial model APIs, currently including Anthropic's API, for tasks such as research assistance, synthesis, drafting, formatting, and quality review. Relevant client context or source material may be included in those requests when needed to provide the service.
We use commercial API services and do not opt client inputs or outputs into provider model training. Anthropic states that commercial-product inputs and outputs are not used for model training by default unless a customer submits feedback or opts in; see Anthropic's commercial data-use explanation. Provider retention and safety terms still apply. Human review and client approvals remain part of the workflow where the engagement calls for them.
7. Service providers and connected platforms
We share information with service providers only as needed to operate the services. Current categories and providers can include:
- Cloudflare for web delivery, storage, and Turnstile;
- Fly.io for application hosting;
- Amazon Web Services for transactional email and related services;
- PostHog for product and website analytics;
- Anthropic for commercial model processing;
- Stripe for payment processing where used;
- GitHub for source control and approved repository workflows; and
- Zernio and LinkedIn for social-account connection and publishing when a client authorizes that workflow.
Providers process information under their own terms and privacy policies. The exact providers used can vary by client scope and may change as the service evolves.
8. Retention and deletion
We retain information for as long as needed to provide the service, maintain security and records, comply with legal or accounting duties, resolve disputes, and perform the signed agreement. Retention periods differ by data type and provider. Backups and provider logs may persist for a limited period after active records are removed.
To request access, correction, export, or deletion, contact support@socialtide.ai. We will verify the request and respond as required by applicable law and the client agreement. We may retain information that we are legally or contractually required to keep.
9. Security
We use reasonable technical and organizational safeguards appropriate to the service, including encrypted transport, access controls, secure development and review practices, and security controls supplied by our infrastructure providers. No method of storage or internet transmission is completely secure, so we cannot promise absolute security.
10. International processing
SocialTide and its providers may process information in Canada, the United States, and other locations where a provider operates. Privacy protections and lawful-access rules can differ by jurisdiction.
11. Your choices and rights
Depending on where you live, you may have rights to access, correct, delete, restrict, or obtain a copy of personal information, or to withdraw consent where consent is the basis for processing. You can unsubscribe from marketing email using the link in the message. Service and security notices may still be sent while an account or engagement is active.
12. Children's privacy
SocialTide's services are intended for businesses and adults. We do not knowingly collect personal information from children.
13. Changes to this policy
We may update this policy as the service or provider stack changes. We will post the current version here and update the date above. Where required, we will provide additional notice of a material change.
